The primary purpose of the position is to assist the Coordinators and Chiefs of the Outpatient Mental Health Clinics, Inpatient Mental Health and subordinate staff by performing general office work auxiliary to the work of the organization. This office is only secondary to the principal office, clerical and administrative support position in the Service Line.Learn more about this agencyResponsibilitiesMajor Duties:* Knowledge of the functions of all programs within the Mental Health Service Line, Affiliates, and Medical Center in order to gain needed information or direct projects to the appropriate office or person.* Establishes and maintains liaison with persons in offices at such level as the Mental Health VISN lead’s office, Chief of Staff and Director’s Office as well as with other departments throughout the Medical Center.* Assist with directing administrative support services for the Mental Health Service Line to ensure that inquiries, correspondences, and actions for the department are addressed appropriately. Follows-up on suspense requests for information and informs the service chief of status.* Consolidates and prepares information as needed for the Coordinators and Chiefs, Outpatient Mental Health Clinic and Inpatient Mental Health Service Line for final review and approval by the Director, Mental Health Service Line’s review and inclusion in written responses, meetings and conferences.* Reviews forms, letters, memoranda, and reports submitted to the Administrative Officer, Chief, Psychology, Chief, Addiction programs, and the Chief, Outpatient Mental Health Clinic, and in the absence of the Secretary to the Director, Mental Health Service Line for signature.* Assures the accuracy of format, grammar, and the use of established policies when reviewing all documents submitted by subordinate clinical or administrative staff.* Returns all written communication requiring corrections to clinics or clerical staff when an inappropriate action has been taken or errors are identified.* Assist with advising staff members on clerical and administrative policies and procedures related to preparing document such as letters, memoranda, and travel requests.* Prepares and reviews all applications made by Psychology Interns and Externs being recruited or re-privileged to assure that all required documents are in order.* Manages schedules, make appointments, and coordinates meetings on behalf of the Chief, Psychology, Neuro-psychology and Biofeedback sections, as well as other sections heads within the Mental Health Service Line as required.* Gathers, collects data, and prepares quarterly for OPPE and PPE reports for the Chief, Psychology Section and Nurse Manager, and identifies and schedules milestones; and estimates resources required.* Assign, follows-up, and track action items, controlled correspondences for the Psychology section as part of the Service’s internal control program.* Reviews and analyzes documents for format, adequacy, and responsiveness to requests.* Ensures that all Psychology, Addiction Program and Outpatient Mental Health Clinic, clinical administrative staff are informed of new procedures and policies, or suspense requests that impact their area.* Assist with providing on-the-job training and advise to all of the section secretaries on program (s), policies, and procedures, the use of office equipment and automated systems, completing work orders, training request forms, timekeeping and requisitions.Work Schedule: Monday through Friday 8:00am – 4:30pmTelework: Not AvailableVirtual: This is not a virtual position.Position Description/PD#: Secretary/PD05428ORelocation/Recruitment Incentives: Not AuthorizedFinancial Disclosure Report: Not requiredTravel RequiredNot requiredSupervisory statusNoPromotion PotentialNone* Job family (Series)0318 SecretarySimilar jobs* Office Secretaries* School Secretaries* Secretaries, Office* Secretaries, School* RequirementsHelpRequirementsConditions of Employment* You must be a U.S. Citizen to apply for this job* Designated and/or random drug testing may be required* Selective Service Registration is required for males born after 12/31/1959* You may be required to serve a probationary period* Subject to background/security investigation* Selected applicants will be required to complete an online onboarding processQualificationsTo qualify for this position, facility applicants must meet all requirements within 30 days of the closing date of this announcement 03/05/2021.You may qualify based on your experience and/or education as described below:* Specialized Experience: You must have at least one (1) full year of specialized experience equivalent to the GS-4 level that equipped you with the knowledge, skills and abilities to perform successfully the duties of the Secretary (OA) position, and that is typically in or related to the duties of this position.
