Your new responsibilities The first 3 letters in workplace safety are Y-O-U!thyssenkrupp Elevator Americas is currently seeking an experienced administrator or coordinator to function asOperations Coordinator -Repairin Chicago, IL.Responsible for performing all administrative duties associated with the repair operations department so that the department functions efficiently and cost effectively.Essential duties and responsibilities:Provides status to NTL and customers on open work orders and repairs. Maintain and track field employee vacations requests and enter into Oracle.Assists mechanics with ITS downloads, Tablet troubleshooting and Tablet ordering, brochures and tools. Order new phones and replacements for service and repair department.Assists managers with safety meetings and maintains documentation.Entering time and expense manually for payroll, cost corrections and Friday payroll submission. Track and send receipts to regional office.Creates requisitions for office supplies, shop supplies and parts. Receive in Oracles or other systems. Reviews and updates weekly report of un-received invoices.Performs research and reports for Repair Manager.Re-assign PM tickets to Repair Crews to complete maintenance tickets while onsite doing repairs.Compile data and complete reports for high profile service accounts, as needed.Review invoice on-hold reports and works with Regional Procurement Department to correct weekly.Order uniforms for service and repairBooking FM repairs and setting up billable repair folders(include scope of work, Pre-Start Safety and Job Checklist, JHA and RCN if necessary)Track bookings to make sure SLC assigns a Job # to each job, update the job folder with Job Numbers, Reqs and/or PO’s.Attend repair backlog meetingsJob completed billable and non-billable repairs weekly (or support repair manager at his discretion)Check in/out for repair. Confirm with GPS for payroll.AP – processing invoices weeklyMail distributed daily (most of mail is invoices)Setting up new hiresScheduling repairs Process warranty claims for service and repairBack-up State code and Service CoordinatorReceiving – 2x per day (notify requestor of receipt of overnight shipments)Tracking material on all repairs proactivelyText Service Techs when Repair is on their jobText Service Techs to let them know when maintenance tickets have been completed by repair for their jobsBack-up Associate Super for inventory adjustments and reportingCreate GenSuite QCR’s for any process or procedure gaps/failures in your areaPerforms other duties as assigned.
